🚀 AutoScheduler Agent

How-To & Best Practices Guide

Empowering warehouse teams to make faster, more confident decisions with AI.

1️⃣ Getting Started

Welcome to the AutoScheduler Warehouse Decision Agent — your AI sidekick for warehouse operations.

The Agent helps you make faster, more confident decisions every day by turning data into instant insights.

💡 Example: “How do shipments and inbounds look for the next 8 hours?”

Tip: Think of the Agent as a smart coworker who knows your docks, trailers, and loads — and is always available to help.

Here are a few videos to get you started:

2️⃣ Uploading & Viewing Data

📤 How to Upload Your File

  1. Click Upload File (Paperclip icon)  in the Agent message bar.
  2. Select your latest warehouse schedule, load board, forecasts, etc (.xlsx or .csv).
  3. Wait a few seconds while the Agent processes it.
  4. You’ll see a confirmation message once it’s ready.

💡 Sample Files for your Use:

Tip: Always upload the most recent schedule to ensure the Agent uses current data.

Caution: File headers should match your site’s format for best results.

3️⃣ Asking Questions / Prompting the Agent

💬 You can type naturally — no coding required.

Good Questions:

  • “Which trailers are waiting longest to unload?”
  • “How many docks are scheduled for shipping this afternoon?”
  • “Summarize the late arrivals by carrier.”

⚠️ Avoid Vague Questions:

  • “What’s going on?”
  • “Show me data.”

➡️ Instead say, “Show me all shipments delayed over 2 hours.”

💡 Follow-up Prompts:

“Now split that by dock.”

“Only show Pepsi trailers.”

“Summarize that in one line for shift change.”

4️⃣ Understanding Responses

📊 The Agent replies with text, charts, or tables — depending on your question.

Responses are based on your uploaded file or live data (if connected).

Response Types You’ll See:

  • Summaries: Key metrics (e.g., inbound vs outbound totals).
  • Tables: Trailer, order, or dock-level detail.
  • Recommendations: AI-suggested next steps.
  • Communications: Draft messages for shift or carrier updates.

Tip:

When something looks off, double-check your upload or ask: “What data is this based on?”

5️⃣ Common Use Cases

A. Scheduling & Dock Management

💡 Example Prompts:

  • “Which docks are currently idle?”
  • “List all inbound trailers still waiting after 3 PM.”
  • “Show me the unloading order to finish fastest.”

B. Labor & Shift Planning

💡 Example Prompts:

  • “How many unloads are remaining this shift?”
  • “Which tasks can I assign to 2nd shift?”
  • “Summarize work left by department.”

C. Reporting & Daily Recaps

💡 Example Prompts:

  • “Give me a summary of inbound vs outbound for today.”
  • “Create a one-line summary for shift change.”
  • “List the top 3 issues causing delays.”

D. Communications & Alerts

💡 Example Prompts:

  • “Write an email update for the 3 PM carrier delays.”
  • “Draft a Teams message for the next shift team.”

6️⃣ Best Practices for Effective Prompts

🧠 The better your question, the better the Agent’s answer.

1️⃣ Be Specific

“Show me trailers delayed over 2 hours for Dock 3.”

For numerical responses inform the agent how you want the numbers formatted – thousands separators, 3,000,000USD -> $3M, etc.

2️⃣ Add Timeframes

“Summarize all shipments scheduled before noon.”

Also advise the agent what timezone you are in and how you want the times formatted.

3️⃣ Ask Step-by-Step

“First list all inbound trailers.”

“Now show which are still at the gate.”

4️⃣ Use Natural Language

“Which carriers are most behind today?”

Tip: If the Agent misunderstands, just rephrase:

“Try that again, but only include inbound trailers.”

7️⃣ Troubleshooting & FAQs

Q: I get a pink Failed to Fetch box or other error message

A: When you get a pink Failed to Fetch error message or any other error like message as a response, simply refresh the page. Oftentimes, if the pages has been left open for an extended period of time, our security measures ensures the Agent is disconnected.

Q: My data didn’t upload correctly.

A: Make sure your file is .xlsx or .csv and matches the template headers.

Q: The Agent says it’s unsure.

A: This means your question was unclear or the data needed isn’t available. Rephrase or upload again.

Q: Can I upload a new file mid-conversation?

A: Yes — just upload, and the Agent will re-analyze automatically.

Caution: Always verify recommendations with your WMS or supervisor before executing.
